BUSINESS MEETING MINUTES: July 1998

Judy Winn: Introduction: Year-in-review -- good participation via email, ex. C&A and Friday SIG Day in CA planning (turned meeting over to Carol).

Carol Whatley: Not enough people here to vote, but need to discuss C&A categories, perhaps collapse A's and B's. We now have 11 categories. 1997: 134 entries, 1998: 110 entries. Better average in other SIGs (except for Writing). [See summary below for further discussion.]

Judy: Expect a task force to re-evaluate C&A, no need to decide today, but we should discuss it.

Carol: Review of the numbers [number of entries in each of our classes for the last two years; number of entries in other categories and chances--1 in 6, 1 in 10, etc.--of winning in any other category based on number of entries.

Audience: Why are changes needed? [discussion]

Judy: A lot of investment in time and money for C&A, as well as some question about judging.

Audience: Perhaps put low-entry categories on hold for 1 year, but we are paying for the judges' evaluations. Not so much a problem of too many categories as not finding a category for a product...but it used to be much worse before Florida took over.

Judy: But we do have to deal with low-entry categories.

Carol: A report shows low entries over the past few years: 2 in Pubs 1-3 color Special Report; as well as Editing for Technical Report (new category). Perhaps combine editing a & b (general agreement).

Ivar Nelson: Combine Special report categories?

Carol: There is some confusion over category distinctions.

Judy: There is a September deadline for C&A changes this year.

Carol: What should be voted on for classes?

Sue Keller: We should stop there (cf. Radio has low entries).

Carol: What about Special Reports?

Ivar: What is the description? [discussion]

Judy: Shall we leave it there? [agreement]

Audience: perhaps less cost per entry would raise entry rate, but costs are raising dues.

Bill: Discussion of cost of journal.

Carol: Will ask for vote from SIG on editing combination, will ask why people don't submit more entries, and how might we cut categories if asked to.

Judy: Received only one complaint about judges. A big thanks to Ivar for assistance in locating judges; are there any other complaints?

Audience: perhaps lower entry fee, eliminate the frames (i.e., don't frame 2nd and 3rd place awards); recommend that to the board; plaques for Professional Skill Awards, paper certificates for Gold.

Susan Roberts: Were there any on-line publication entries? Didn't we add that category last year?

Bill: There should be a different category for that.

Judy: We did not add that category last year.

Ivar: It could be pdf only.

Carol: Should we propose adding that as a new category?

Audience: Is there a place in multimedia?
Answer: No.

Carol: We must move on. Next please send names of new judges to:

Audience: Any qualifications?

Carol: Experience, based on good judgment of SIG members, may have worked in our institutions, and will work for $10 per entry (six weeks time limit).

Audience: Can we get a list of entry categories?

Judy: Look on the web site.

Carol: We need a Mission Statement. The board has requested one. Can we get 2-3 volunteers to draft one for group discussion?

Meg Ashman: ACE is revising the organization's Mission Statement, she will share it with the group as a model for ours.

Judy: When?

Meg: By September. [Volunteers are: Cathy Montes (NMSU), Meg Ashman (UVM), Sue Keller (AK).]

Carol: The web page is next. Kim is willing to help.

Meg: Will work with Kim as liaison but need the group to submit items.

Judy: Has notes from last year's discussion.

Carol: Will ask for web page suggestions from SIG.

Frankie: Without a newsletter, the web may be a substitute for sharing info; the newsletter is missed, was valuable resource.

Debbie Weitzel: Professional development opportunities would be helpful.

Carol: New member welcomes: she will make a commitment to do them, any volunteers to help? [Volunteers: D. Weitzel (Colo.), Diane Owen, R. Casler (AZ).]

Audience: Perhaps use the web site for member profiles.

Carol: The Friday Pub SIG meeting, Judy will describe it.

Judy: Mark Ouimet is not a professional speaker, and he wants us to realize this. Ivar is responsible for pulling this meeting together. This will be a working meeting; come with ideas, questions; be ready to think together. We will also hear from Debbie Weitzel and Kurt Byers.

Carol: We need scribes for the Friday meeting for the areas of discussion. Diane is one. [Others: Debbie Weitzel, Sue Keller.]

Ivar: Publishers Group West description: they are good at small publishers distribution.
