Action Plan for 2005-06

SIG Communications:

·         The PubSIG business meeting will be held at the annual ACE conference

·         An electronic newsletter will be sent every one or two months.

·         Conversation calls are planned several times throughout the year.

·         Listserv discussions among members will occur as topics develop.

·         E-mail messages will be sent as necessary, coordinated by Glenda in collaboration with Helen and Kyle.

·         PubSIG Web page will be updated/maintained by Glenda (with technical support from Cindy Eves-Thomas); Sue Keller will help review information for the Web site. The site will be checked each month and more often, if necessary.

 

SIG Mission:

The Publishing SIG's mission is to develop and recognize professional skills, and facilitate networking and information sharing among ACE members who work in print or electronic publications.

  

SIG Goals

 

Goal 1. To encourage members to use and contribute to the PubSIG Web site.

           

            Action Steps:

·         Use the PubSIG newsletter to highlight additions to the PubSIG Web site

·         Offer suggestions for items that members can contribute to the Web site.

·         Continue to ask members to submit listings for the Professional Tools section of the Web pages and post their submissions.

·         Solicit, compile, and post notes from ACE conferences and other workshops of interest to PubSIG members.

·         Compile and post notes from ACE conversation calls.

·         Solicit, compile, and post summaries of responses to listserv queries and discussions.

 

            Methods:

·         E-mail

            Responsibilities:

·       Glenda and Sue Keller: Monitor and update Web site content.

·       Cindy Eves-Thomas: Post additions and changes to the Web site.

·       Glenda, in collaboration with Helen and Kyle: Write and distribute electronic newsletter.

 

            Timeline: Monthly.

 

Goal 2. To increase the PubSIG members’ sharing of experiences and expertise.

           

            Action Steps:

·         Continue to host the successful conversation calls started last year. The dates, times, and topics will be announced in advance and members will be invited to call in to participate. Members are welcome to contribute to the discussion or simply listen in. The first conversation call for this year will be led by Jim Coats and will be a continuation of the social responsibility roundtable started at the ACE conference in San Antonio. Discuss the possible development of a Best Practices in Publishing list.

·         The PubSIG leaders again plan to invite a C&A judge to be the guest for the second conversation call planned in late November.

 

            Methods:

            Responsibilities:

·         SIG leaders: Develop conversation call topics; monitor and generate listserv discussions

·         Glenda: Compile and post summaries of listserv queries.

·         Glenda: Request a PubSIG volunteer to write a summary for each conversation call.

·         Helen: Facilitate the “meet me call” arrangements.

 

            Timeline:

·       The first conversation call is scheduled for Thursday, September 2.

·       Another conversation call with a C&A judge is scheduled for late November

 

Goal 3. To offer excellent professional development opportunities for all members

           

            Action Steps:

·         Begin discussion of a PubSIG super workshop sometime in the next few years. This super workshop might be held at the same time as the 2007 ACE/NETC conference in New Mexico.

·         Explore topics for the proposed super workshop and begin investigating ways to finance such a workshop, including applying for an ACE Development Fund grant.

·         Solicit ideas from the PubSIG membership for breakout sessions and speakers for the annual ACE conference.

·         Review session evaluations from the San Antonio conference to help make decisions for next year’s sessions.

·         Plan programming useful to members.

·         Collect and post notes from as many conference sessions as possible so information can be available to all PubSIG members

           

            Methods:

·       Mention idea for 2007 super workshop in electronic newsletter.

·       E-mail membership for specific ideas for the workshop.

·       Attend selected sessions at conferences and write notes for posting.

·       Ask presenters for notes.

           

            Responsibilities:

·         Glenda: Solicit suggestions for super workshop/breakout sessions/workshops/speakers via the electronic newsletter.

·         Glenda, Helen, and Kyle: Appoint committee to help plan programming. for the next conference.

·         Committee: Help evaluate submissions, make recommendations, and assist in contacting presenters.

·         SIG leaders and members: Arrange for conference sessions to be covered and notes posted on the Web. Compile reports.

·         Cindy Eves-Thomas: Post notes on the PubSIG Web site

 

            Timeline:

·         October newsletter: Request suggestions for 2006 conference session topics.

·         November newsletter: Request volunteers for committee.

·         December 1: Appoint committee.

·         February newsletter: Prompt discussion of 2007 super workshop.

·         Other deadlines: As set by Quebec City Program Committee.

 

Goal 4. To increase the value of the C&A Program for SIG members.

           

            Action Steps:

·         Invite members to submit comments, suggestions, and feedback on C&A criteria and judges.

·         Inform members when C&A materials are available on the PubSIG Web site, including 2005 winning entries in the PubSIG categories, along with their entries and judging forms.

 

            Methods:

·         Web site

·         E-mail

 

            Responsibilities:

·         Helen: Request C&A feedback; write report, and send judges information to Amanda.

·         Glenda: Submit suggested addition to editing class description.

·         Glenda: Discuss feedback results in newsletter.

 

            Timeline:

·        August: Helen requested feedback from PubSIG members on C&A judges and criteria.

·        September 2: Helen will forward judge selections and information to ACE coordinator.

·        September 2: Glenda will send suggested addition to description of editing category to vice president.

·        When 2005 winning entries are posted: Glenda will notify members via the next newsletter.

 

Goal 5: To make the PubSIG more useful to members year-round

 

            Action Steps:

·        Continue conversation calls, choosing timely topics of interest to PubSIG members

·        Enhance content of Web site.

·        Write and distribute electronic newsletter to request input from members, inform them of Web site updates, alert them to professional development opportunities, and solicit their ideas for proposed 2007 super workshop.

            Responsibilities:

·        Glenda: Write and send newsletter.

·        Helen and Kyle: Offer advice and suggestions for newsletter content.

·        Helen and Kyle: Review draft of newsletter before it is distributed.

 

            Timeline:

·        Every one to two months.

 

Goal 6: To help new members feel welcome and understand the benefits of PubSIG membership.

 

            Action Steps:

·        Write and send a welcome letter to each new PubSIG member.

·        Include information about new PubSIG member in next electronic newsletter.

·        Seek new ACE members who work in print or electronic publications to join the PubSIG.

 

            Methods:

·        Electronic newsletter

·        E-mail

 

            Responsibilities:

·        Glenda: Write and send letters.

·        Glenda: Do follow-up with new members as necessary.

 

            Timeline:

·        When PubSIG chair is notified by ACE headquarters of a new member, letter will be sent.

 

Goal 7: To recognize accomplishments of SIG members.

 

            Action Steps:

·        Recognize an outstanding PubSIG member with the Publishing Award of Excellence.

·        Share accomplishments of PubSIG members.

 

            Methods:

·        E-mail

 

            Responsibilities:

·        Kyle: Handle Award of Excellence tasks.

·        Glenda: Ask members to share news of their or other SIG members’ accomplishments. Report these in electronic newsletter.

 

            Timeline:

·        Fall: Ask members to share news of their accomplishments.

·        December: Alert PubSIG members in newsletter that they should be thinking of a deserving recipient to nominate for the Award of Excellence.

·        January 9: Formal solicitation of nominations for Award of Excellence sent to PubSIG listserv.

·        February 17: Nominations for Award of Excellence due to Kyle.

·        February 17—February 28: Fax completed nomination forms for Award of Excellence to other two PubSIG leaders. PubSIG leaders’ teleconference to discuss nominations and select the finalist. Send name and nomination form to Amanda to check.

·        February 28: Send name and nomination form of Award of Excellence finalist to Kristina, after Amanda has confirmed that the nominee has met the criteria.

·        March 15: Notify nominators of candidates for Award of Excellence who did not win (after board approves the finalist).

·        Ongoing: Report accomplishments in newsletter.
