Early in the planning stages, consider if your budget will support printed and mailed registration
materials, or if you will offer only electronic information. If you use electronic registration, investigate
options for credit cards and direct billing. Check if your institution or agency charges additional fees
for these options. Another financial consideration is whether to survey potential participants for
interest in tours of local businesses, agencies, galleries, organizations and museums that
tie in with workshop topics. Also ask people how much they personally are willing to pay for
entrance fees, guides and transportation costs because institutions may not cover these costs. Based on the
feedback and the type of activity, consider these events for pre- or post-workshop activities or tours. In many
cases, you can reduce costs by enlisting co-workers to create and produce graphics, signs, printed
programs, and Web pages; to stuff kits and staff tables; and to serve as local drivers. If your
administrators don't support the workshop, however, you will have to budget for these services and
products or solicit local talent to donate their time.
